All guests are kindly requested to go straight to the hotel upon arrival on 13th May. For logistical reasons, early arrivals cannot be accommodated at the IRCA Headquarters: guests may check into the hotel from the morning onwards.
At about 1.00/1.15 p.m. we will meet in the hall of the hotel where programmes and information about the course will be provided. At this time, we will take the opportunity to ascertain whether everyone has arrived. We kindly ask everyone who is making their own way to the course to go straight to the hotel where they will be welcomed and can register (cars may not be parked at the IRCA Headquarters for logistical reasons).
The hotel has 150 car-parking spaces so there is plenty of parking for anyone who comes with their own vehicle. Furthermore, in the event that booked rooms are not immediately available for guest to check into, the hotel has provided us with a secure storage area where luggage can be kept until guests return at the end of the day.
The coach leaves the hotel at 1.30 p.m. to get to IRCA in time for the Academy Project presentation which is scheduled for 2.00 p.m.

As stated in the programme, all guests will be accompanied back to the hotel at the end of the course where we have organised an evening meal at 8.30 p.m.
All guests are kindly requested to meet again in the hall of the hotel at 8.15 a.m. on the morning of 14th May so that they may be ready to leave by coach by 8.30 a.m. For logistical reasons, anyone who is travelling with their own vehicle will take the coach provided by IRCA.
The course should finish by 6.00 p.m., and transfers from IRCA to any airport/station may be booked without the need to return to the hotel* by letting the Academy Team know in advance (the transfer can be paid for by cash and/or credit card in the car). Anyone who came in their own vehicle will be accompanied back to the hotel to collect their car.
* Anyone that requests and uses the airport transfer service may leave their luggage in the Academy’s cloakroom.
IRCA will provide two coaches to take all guests from the hotel to the Academy on 13th May and on the following day.
IRCA pays for all costs relating to board and lodging for the days over which the course is held (hotel stay, transfers by coach to and from the hotel and IRCA, the evening meal on 13th May and lunch on 14th May). These costs do not include transfers to or from airports/train stations or any additional food or drink not specified herein.
In order to make it easier for guests to organise their travel arrangements, IRCA has the contact details for a local company with which it has arranged discounted rates for getting to the hotel and returning to the airport/station at the end of the course. Anyone wishing to use the shuttle to and from the airport/station is kindly requested to let the Academy team know and confirm the details as soon as possible by emailing us at [email protected] or calling 0331.284111. The team will advise our taxi service partner which will be waiting for you when you arrive to take you to your hotel. Please note that anyone that does not confirm their request will have to organise their own transport and therefore miss out on the discounted rates.
INCLUDED: all teaching materials, bed and breakfast at the hotel, the evening meal on 13th May, lunch on 14th May at the IRCA Academy Restaurant and all internal transfers.
SPECIFIC INFO ABOUT THE HOTEL:
BREAKFAST: The hotel will happy to provide breakfast in the bar area of the resort. There are several coffee breaks during the course for which buffets are arranged with fresh food made by the IRCA team.
EVENING MEAL: An evening meal has been arranged in a dedicated area at 8.30 p.m. on 13th May. Please note that if guests have any additional meals due to arriving early or leaving a day later, they are expected to pay for those meals before they leave.
IMPORTANT!!: If anyone has not yet informed us about food intolerances or allergies, we kindly request that you contact us as soon as possible at [email protected] so that we can best manage all aspects of the event. If guests have any specific needs or requests, could they please let us know when they check into the hotel to avoid any confusion during the evening meal in the hotel or lunch at the Academy.
Any extras which are not included in the above description (additional meals and/or alcoholic drinks with the evening meal) will be charged to guests, who are kindly requested to settle all bills when checking out from the hotel.
